Reporting Lost or Damaged County Property
- Employees must immediately report any lost or damaged County property in writing to their supervisor.
- Following an investigation, employees may be held personally accountable for the lost or damaged items.
- Miami-Dade Fire Rescue (MDFR) may reimburse employees for personal property lost or damaged in the line of duty under certain conditions.
Definitions
- County Property: Tangible items provided to employees for job performance, not including real property. Examples include equipment and apparatus.
- Personal Property: Items not provided by MDC, requiring approval from the Division Chief/Manager prior to loss or damage.
Lost or Damaged County Property Procedure
- Employees must submit an incident report as a memorandum to their supervisor.
- Supervisors are responsible for completing an online Lost & Damaged (L&D) form and informing relevant authorities, such as the Logistics Division Chief.
- If the incident involves theft or vandalism, a police report is mandatory.
Investigation and Accountability
- Investigations for lost or damaged items should begin within five working days of the incident's discovery.
- Findings from the investigation are submitted to the appropriate Division Chief/Manager and Logistics within five working days.
- If negligence is established, supervisory actions may include coaching, reimbursement of item costs (up to $5,000), or disciplinary action up to termination.
Capital Items and Reporting
- For capital items, investigation results, along with any police reports, must be forwarded to the MDC Internal Services Department (ISD) Director for further action.
- Recommendations regarding the removal of equipment from the Capital Inventory Report are made by the Logistics Division Chief.
Kantech Card Incident Protocol
- Immediate action includes notifying the supervisor and disabling the card through the MIT Helpdesk.
- A police report is required for a lost or stolen Kantech card, along with the online L&D form submission.
- No replacement cards will be issued without an accompanying L&D and police report.
Lost or Damaged Personal Property Reimbursement
- MDC may reimburse employees for personal property losses incurred in the course of duty, provided there was no negligence and no other insurance compensation available.
- Reimbursements for cash, vehicles, personal clothing, or jewelry (except watches up to $200) are not permitted.
Claims Process
- Employees should submit reimbursement requests in writing through their chain of command.
- Necessary documents such as police reports or vendor quotes must accompany the online L&D form.
- Division Chief/Manager reviews recommendations for approval, which are ultimately decided by the Fire Chief.
