Luminaire Values Showroom Guidelines Guidelines & Values “Perfection is only the beginning” Showroom Guidelines As one of the world's leading design, education, and experimentation platforms, Luminaire looks to its employees to present and represent the company at the highest professional level. Our showrooms and the experience of our clients within them is a direct expression of our values, standards and means of enriching lives through good design. The following our a set of guidelines that stand as a foundation for this level of high level of expression. Physical Showroom Cultivation Ceremony Reference Visual The experience of engaging with clients has been transformed into a Cultivation Ceremony. A guide to exploring and cultivating the Luminaire standards while building the foundation for what our clients and patrons can expect all our locations. The ceremony is shared through a package and is uploaded to LuminaireU and will be the base standard for the Luminaire experience. Opening & Closing Reference Visual All showroom employees are expected to arrive at the showroom 30 minutes prior to public opening to arrange and prepare the showroom and themselves for the day. The showroom is to stay open with music playing, lights on and full Luminaire experience until closing time. Once closing time is has arrived and all clients have left the showroom may closing operations commence. Desks All desks should be cleared of any unnecessary items and be left clean at the end of each day. Reference Visual Personal items such as bags, bottles, lighters, branded items and anything not in line with the Luminaire company needs should be put away. Accessories Items beyond the standard Luminaire notepads, folders and so forth should be approved and organized across the company. Reference Visual Approved items are located on the amazon order list and anything beyond those levels should be approved by VP of Sales and VP of Design. Appearance Guidelines Reference Visual The dress code should be strictly adhered to throughout the company during work hours and during all company sponsored events. An appearance guidelines package is available for a clear walkthrough of guides and examples of Luminaire standards. Lighting Reference Visual All lighting in the showroom should be turned on and working each day. If an item is not working, it should be removed front the floor and an email sent to [email protected] Depending on the showroom, certain lights may be left on overnight to build the atmosphere of the spaces even when the showroom is not in operation. Tags Reference Visual All tags in the showroom should be maintained and verified. If a tag is aging or not within visual standards, please make sure to reprint and change it. All tags should have the name of the product, dimensions, and designer located on the hanging tage and the control number on the back. Object tags should have only the control and a scannable SKU for purchasing needs. Packaging The Luminaire bags should be used in all locations for cash and carry items and or samples shared with designers. Reference Visual If an item needs to be boxed, it should be packaged in simple brown box, tissue paper and with a Luminaire quote sticker attached. If supplies are needed, please email [email protected] Invoices Reference Visual All invoices should be folded and handed to the client in the invoice envelope with the design consultant’s business card attached. Public Facing Collateral Reference Visual All public facing collateral should be approved by the creative department and upto Luminaire standards. This includes but is not limited to: - Business Cards QR Contact Information Presentations Marketing Materials Showroom Signage All needs for collateral should be sent to [email protected] with the needs and deadlines and if approved the material will be created and supplied. Walkthrough Reference Visual All members of the team should do a walkthrough of the showroom each morning to make certain all plastic tag covers, sofas, lighting, compositions and vignettes are upto standards. If anything is needed or inquires for changes are needed, please reach out to [email protected]. A Water B All water should be served with the following layout on the showroom metal trays. All showrooms should have metal trays, paper inserts, clean cups, water bottles of both flat and sparkling ready for clients. Reference Visual C A. B. C. Napkin Coffee Cup Coffee Spoon Cookie Sugar Cubes / Sugar Replacement Food Any additional food should be offered through a printed and luminaire designed menu and in line with the Studio Experience. Music The music in all showrooms is curated and selected. It should be audible throughout the showroom and not so low or high to be a heavy distraction. The music plays a critical role in building the experience. Changes to the music selection or variation thereof during showroom is strictly prohibited. Digital Communication Email The default email structure should be followed and consist of the following: Arial Font No Bold Font No Italicized Font Size 10 Font Communication Standard All information that is shared externally must reach Luminaire standards of communication this includes using the presentation template in the Luminaire Resources files. Internal documents should not be shared under any circumstance without written permission from the VP of Sales or VP of Design. Respectful Communication R – Take Responsibility for what you say and feel without blaming others E – Use Empathetic listening S – Be Sensitive to differences in communication/cultural styles P – Ponder what you hear and feel before you speak E – Examine your own assumptions and perceptions C – Keep Confidentiality T – Tolerate ambiguity because we are not here to debate. Social Media Employees should not post any BOH or internal information to their social media accounts, this includes but is not limited to: Invoices Client Information Client Site Visits Corporate Communications Client Presentations Presentations Visual Standards All presentations are to follow the given template shared with the full team and accessible to the managers on the Luminaire Resources team. Each manager should review the presentations shared with customers and give advice on improvements and support the teams continued evolution of maintaining this communication standard. * Additional information located in the Luminaire Resources teams files storage. Architect Standards All architects are trained on the visual standards for their presentations and any public facing presentation should adhere to these guidelines. These drawings are the only ones that should be included in client presentations. Visual aspects such as composition, shadows, textures and label structures are all key elements to the architectural standards of Luminaire. These are evolving and improving over time and will only add value to our proposition as a project based company. Rendering Standards All Rendering needs should be facilitated by the design fee and or approval of the VP of Design and VP of Sales. The showroom manager should be present for initial meetings and act as the facilitator of the rendering experience to make certain that all information is facilitated and coordinated effectively and efficiently. * Additional information located in the Luminaire Resources teams files storage. Showroom Operations Selling off the Floor Any inquires in regards to selling off the floor should follow the following guidelines: - - Inquire if item has been slated for sale. Connect with VP of Sales to finalize sale price. Send an email to [email protected] Convey control, photo of item in showroom and needed date of item. If accepted, follow up with [email protected] confirming the sale. Facilities Any needs in the showroom focused on the facility, improvements and or changes should be emailed to [email protected]. All facilities charges must be approved in advance by VP of Sales and VP of Design. Showroom Guidelines Any modifications to the above mentioned guidelines must be approved by writing by the VP of Sales and the VP of Design.
