A project is “a temporary endeavor undertaken to create a unique product, service, or result.” Examples of IT Projects Developing a new product, service, and/or result. Examples of IT Projects Effecting a change in the structure, processes, staffing, or style of an organization Examples of IT Projects Developing or acquiring a new or modified information system (hardware or software) Examples of IT Projects Conducting a research effort whose outcome will be aptly recorded. Team of students creates a smartphone application and sells it online. 2. Company develops a driverless car. 3. Company implements a new system to increase sales force productivity and customer relationship management that will work on various laptops, smartphones, and tablets. 5. Television network implements a system to allow viewers to vote for contestants and provide other feedback on programs via social media sites. 6. Government group develops a system to track child immunizations. 7. Large group of volunteers from organizations throughout the world develops standards for environmentally friendly or green IT. 8. Global bank acquires other financial institutions and needs to consolidate systems and procedures. 9. Government regulations require monitoring of pollutants in air and water. 10. A multinational firm decides to consolidate its information systems into an integrated enterprise resource management approach. Attributes of Projects A project has a unique purpose Every project should have a well- defined objective Attributes of Projects A project is temporary. A project has a definite beginning and end. Attributes of Projects A project is developed using progressive elaboration. Projects are often defined broadly when they begin, and as time passes, the specific details of the project become clearer. Attributes of Projects A project requires resources, often from various areas. Resources include people, hardware, software, and other assets. Attributes of Projects A project should have a primary customer or sponsor. For a project to succeed someone must take the primary role of sponsorship. The project sponsor usually provides the direction and funding for the project. Attributes of Projects A project involves uncertainty. Every project is unique, it is sometimes difficult to define its objectives clearly, estimate how long it will take to complete, or determine how much it will cost. What is a Project Management? Project management is the application of knowledge, skills, tools, and techniques to project activities to meet the project requirements. Project management is accomplished through the appropriate application and integration of the 47 logically grouped project management processes, which are categorized into five Process Groups. Constraints of Project Constraints of Project Managing the triple constraint involves making trade- offs between scope, time, and cost goals for a project. For example, you might need to increase the budget for a project to meet scope and time goals. Alternatively, you might have to reduce the scope of a project to meet time and cost goals. Activities/Assessment: Activity 2: Understanding Project Constraints Objective: Evaluate students' understanding of project constraints (scope, time, and cost). Scenario: Imagine you are managing a project to upgrade a university’s technology infrastructure to provide wireless Internet access in the ITECH campus. You have a set budget of ₱3 million, a completion deadline of 12 months, and a requirement to cover all campus buildings. Answer the following Questions: 1. Scope: What specific tasks would be included in the project’s scope for the wireless upgrade? How would you ensure the scope aligns with the sponsor’s expectations? 2. Time: The University needs the project completed within 12 months. If delays occur due to bad weather during installation, how would you adjust the timeline? What would be the potential trade-offs? 3. Cost: If the cost of installing wireless access exceeds the original ₱3 million budget, what options could you explore to stay within budget? How might reducing costs affect the project’s scope or quality? 4. How would you manage the triple constraint (scope, time, cost) if the university decides they want additional coverage areas not originally planned? 5. What are some risks associated with this project, and how would you mitigate them to ensure success within the given constraints? Activities/Assessment: Activity 3: Group Project Proposal Presentation: Simulated IT Project Format: Group presentation with project proposal documentation Objective: Assess students' ability to apply project management concepts to a simulated IT project, demonstrating understanding of project constraints and attributes. Instructions: In groups, choose a simulated IT project (e.g., developing a new mobile app, upgrading a company’s computer network, or implementing a new customer relationship management system). Develop a detailed project proposal that includes: 1. Project Objectives: Clear, well-defined goals and deliverables. 2. Scope: Specific tasks and activities that will be included. 3. Timeline: A project schedule with key milestones. 4. Resources: Human, financial, and technological resources needed. 5. Risk Management: Potential risks and strategies to mitigate them. 6. Cost: A realistic project budget and justification. Activities/Assessment: Activity 3: Presentation Guidelines: Each group will have 10-15 minutes to present their project proposal. The presentation should cover the project’s scope, timeline, cost, and how you plan to manage project constraints. Use project management tools (e.g., Gantt chart, work breakdown structure) to illustrate your proposal.
