Whether they don’t have time in the morning or simply forget, many people go to work without being well-groomed or performing basic hygiene routines, which can lead to embarrassing situations in front of colleagues and clients. To ensure you always maintain your personal hygiene at work, there are several things you can do. Hygiene basically means certain practices for ensuring good health and prevention of diseases by maintaining a clean body and environment around us. Personal hygiene is extremely important for various personal, health, social and psychological reasons. An unhygienic person is viewed negatively by any employer although he may be very efficient in his / her work. People don’t like to socialize with such individuals. The importance of hygiene can be elaborated as follows:  Personal health – Hygiene is a start point for good health. Lack of hygiene can create lot of health problems.  Body image – Body image influences self-esteem, confidence and motivation. Those who already have low self-esteem and especially those with depression often neglect personal hygiene which increases the problem of poor body image.  Social reasons – Most people hate to be talked about, especially in a negative manner. By ensuring that our body is clean and well presented, it shows that we have a good personality.  Psychological issues - By being well presented, clean and tidy, people can feel more confident, especially in social situations. Our chances of succeeding either in work or social settings can be increased by maintenance of good hygiene. 2) Grooming is an art that is all about small, yet very noticeable things. Well Groomed Man ______________________________________________________________________________ 3 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- 1) Polished shoes that match the trousers. 2) Socks with firm elastic that does not droop around the ankles. 3) A fresh clean handkerchief, preferably white in color. 4) A wallet that does not bulge (is too big) and spoil the fall of the trousers. 5) Well ironed shirt. 6) Wear simple accessories, nothing too showy. Well Groomed Woman 1) Make up- light make-up can make a person face look a lot more attractive than having too much on. 2) Use colours of eye shadows, blushers (powder on the cheeks), lipsticks and nail polish that suit one's complexion (skin colour and texture). Light colours are the best. 3) The choice of perfume is a matter of one's preference; however it is important that it is not too strong. 4) It is not necessary to wear matching colours in every accessory like footwear, handbags and belts. 5) Jewellery should match the clothes and not be big or distracting. 6) Simple bags should be used, showy ones should be avoided. 3) The importance of health and how hygiene is essential to maintain it. Health has two aspects – mental emotional health and physical health. Both impact each other.i.e. a person with physical health problems may experience anxiety and a person going through depression may face risk of heart attack, weight gain / loss, diabetes, stomach problems, reduction in immunity etc. A person with good health experiences the following positives: (explain each of them)  Self confidence  Ability to enjoy life  Ability to work hard and take on higher responsibilities  Avoiding absenteeism  Taking active part in all social activities  Positive relationships with colleagues and friends  Ability to care for others  Ability to balance work life with personal life  Better bonuses and leave encashment  Career growth and development A sound and happy mind with a healthy body is an essential requirement to maximize work effectiveness. If you are disturbed mentally or physically ill, you cannot give your best performance. Healthy life style practices include:  Physical activity in terms of exercise walks etc.  Healthy eating by eating at regular intervals, avoiding junk food  Drinking adequate water  Early medication in case of illness  No smoking or intake of tobacco  No consumption of alcohol ______________________________________________________________________________ 4 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE -------------------------------------------------------  Weight management – neither over weight or underweight beyond certain acceptable levels  Healthy relationships with family members  Personal safety at time of travel, while at work, home etc.  Good sleep and rest when required - today lack of sleep is identified as one of the major reasons for heart attacks.  Avoiding excessive anxiety and stress  Personal hygiene Personal hygiene Cleanliness is important to keep ourselves fit and healthy. If you keep yourself dirty then you might be attacked by germs which can make you sick. Personal hygiene includes:  Hair – well groomed (covered later)  Clothes o Washed, well ironed. o Dress as the season example using jackets in winter as required, wearing cotton clothes in summer etc. o Decent dressing – dressing as per the office dress code (Faculty to explain that formal shirts and pants for men / salwar kameez, saree or formals for women jeans / t-shirts only on weekends; shorts etc. to be strictly avoided.  Nails – to be cleaned and well maintained  Skin care (covered later)  Footwear – to be clean and polished. Socks to be clean and have firm elastic.  Dental hygiene (covered later) Exercise List down any five Dos and Don’ts with regard to personal hygiene ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________ ______________________________________________________________________________ 5 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Do you find anything wrong in the pictures of the men given below? Ask: “Do you know how to stay neat and clean? That’s A LOT to know. Let’s learn HOW to do these things and WHEN to do them.” Beautiful Teeth Have good oral hygiene - brush and floss your teeth daily. Brush your teeth twice a day and rinse well after every meal. Brushing before going to bed is important. Visit the dentist at least once a year. Though you may brush and even floss your teeth daily, your dentist will be able to diagnose and correct any oral health issues you have. Such issues can lead to bad breath and some can cause serious health problems. Clean Hands & Nails  Clean and trim your nails and keep them clean. Do not keep your nails painted continuously; it causes the keratin, of which nails are made of, to split.  Don't bite your nails. If you are already in a habit you can buy oil (neem oil) and apply it on your nails so that you don't bite them.  Wash your hands thoroughly with soap and water before and after every meal and after visiting the toilet. Soaping and rinsing should cover the areas between fingers, nails and the back of the hand.  Keeping hands clean is one of the most important steps we can take to avoid getting sick and spreading germs to others.  If soap and clean water are not available, use an alcohol-based product to clean your hands like a sanitizer. Alcohol-based hand rubs significantly reduce the number of germs on skin and are fast acting. When washing hands with soap and water: Wet your hands with clean running water and apply soap. Use warm water if it is available. Rub hands together to make lather (foam) and scrub all surfaces. Continue rubbing hands for 20 seconds. Rinse hands well under running water. Dry your hands using a tissue paper. ______________________________________________________________________________ 7 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Remember: When using an alcohol-based hand sanitizer: Apply product to the palm of one hand. Rub hands together. Rub the product over all surfaces of hands and fingers until hands are dry. When should you wash your hands? Before preparing or eating food. After going to the bathroom. After changing diapers or cleaning up a child. Before and after handling someone who is sick. After blowing your nose, coughing, or sneezing. After handling an animal or animal waste. After handling garbage. Before and after touching a cut or wound. Hair care  Your hair is one of the first things people notice about you. Keep it looking clean, neat, and shiny and at a length and style at which you can maintain it.  Wash your hair at least twice a week. Rinse well.  Brush your hair with a wide toothed comb to clear the knots. Wash your brush and comb every time you wash your hair.  Oil the scalp, once a week, preferably an hour before you wash your hair.  Pick a hair style that suits you and not one that you have seen on your favourite film star, it may not suit you. Choose a cut as per your face type. For e.g. someone with a round face may like to have a cut with more height to balance out the face. Choose a cut to balance your face in case it is not. An incorrect haircut can actually imbalance your face further. Face  Wash your face twice a day to feel fresh and clean.  Avoid bursting any pimples; you could leave marks on your face permanently.  Drink lots of water. Water helps in keeping the skin pimple free and also helps your teeth whiten naturally. For men, have clean-shaven face, or well-trimmed beard and moustache. My Skin  Skin is important and should be on your priority list. Soap and water are essential for keeping the skin clean.  A good bath once or twice a day is recommended, especially in countries like ours. Those who are involved in active sports or exercise till they sweat should take a bath after the activity.  Drying yourself with a clean towel is important. Avoid sharing soaps and towels.  Use a deodorant that works for you. Don’t use the ones with strong smell. Use the one a mild and fresh smell, one which makes you feel fresh even on a busy day.  Wear clean hygienic clothes which suit your skin type.  A healthy diet is very important. The diet must comprise of all leafy vegetables, pulses, whole grain foods, milk and at least 6-8 glasses of water. A daily 30 minute workout can do wonders for your skin and body.  Wash your skin regularly if it is oily. Use a moisturizer to prevent it from becoming dry.  Bathing is essential, not only will it cleanse your skin and keep it looking more healthy and attractive, but it will also help cleanse your body of odour. Simply putting on perfume or aftershave does not help cover up body odour, and can in fact exaggerate it. ______________________________________________________________________________ 8 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- NEAT AND CLEAN CHART What How When General Use soap, warm water and a Hands and face: cloth to clean away all the dirt Cleansing and germs. The food choices we make can either contribute to our overall health and well-being or lead to a variety of health concerns, such as cardiovascular disease, obesity, osteoporosis, cancer, ______________________________________________________________________________ 11 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- and diabetes. This module will provide information and suggest strategies to help participants understand the importance of maintaining lifelong balance of energy expenditure and food intake to achieve a healthy body weight. Healthy eating also involves understanding and practicing safe food handling, preparation, and storage. The food we eat supplies our bodies with the essential nutrients (carbohydrates, fats, proteins, vitamins, minerals, and water) needed for growth, health, and daily functioning. The fundamental needs change throughout life, from early childhood, through teenage, and into every stage of adulthood. Nutrient and energy needs are at their highest during teenage years. Bone and tissue development during this period, along with the increased blood volume associated with rapid growth, contributes to the increased nutrient and energy needs during adolescence. Meeting these requirements with nutrient-rich foods supports proper growth and development. By learning to make healthy food choices early in life we can decrease the risk of future health problems. An eating pattern is defined by the type, amount, and quality of food to consume each day based on changing needs of males and females throughout the life cycle. The eating patterns take into account energy and nutrients required to support growth, as well as calories/ energy required at various ages to support healthy weight. People must be encouraged to limit consumption of foods and beverages that are high in calories, fat, salt, or sugar, or those that do not contain significant amounts of nutrients. No recommended number or size of servings is identified for the various categories of “foods to limit,” which ranges from soft drinks to potato chips. We are encouraged to consume fewer of these “less healthy choices.” b. Food Portions: A food portion (or serving of food) is the amount of food an individual chooses to eat. There is no standard amount for everyone. For example  A toddler’s food portion will be much smaller than an adult’s portion.  A teenage boy’s serving of food will be larger than that of an adult male. As food portions have increased over the years, we are eating more than ever, without realizing it. ______________________________________________________________________________ 12 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- c. Physical activity The human body is meant to move. The muscles, bones, heart and brain improve through regular activities of daily living and exercise. Lack of regular physical activity puts our health at risk. Decreased physical activity, together with an over-consumption of calories, makes the human body store surplus energy as fat. Any food intake that results in an excess of calories as compared to how much the body burns off during the day through physical activity is stored as fat, whether it comes from carbohydrates, fats, or proteins. d. Energy When we consume plant (vegetables and fruit) and animal (meat) products; the carbohydrates, fats, and protein are broken down during digestion, releasing energy and nutrients. Some of the energy from these foods is used immediately for various body functions, and some is stored as energy to be used at a later time. Exercise is an extremely important variable in the daily energy expenditure equation and the maintenance of energy balance. Not only is exercise the most changeable component during a 24-hour period, but it is also the one component that is completely under voluntary control (for most people!). In addition to increasing caloric expenditure, exercise has many other benefits, including building more muscle, better bones, and a better heart. e. Energy Balance Energy balance refers to the relationship between energy in (food consumption) and energy out (physical activity).  Positive balance refers to a situation where energy intake from food exceeds energy expenditure from activity (fat gain).  Negative balance refers to a situation where energy expenditure from physical activity exceeds food intake (fat loss). Almost everything we eat and drink (except water) contains energy in the form of calories. Human beings need energy to maintain body structures and functions, to grow, and to be active. If less energy is spent in activity than is consumed in food, the body is able to store extra calories in the form of body fat. Reduced levels of physical activity and/or over consumption of food create energy imbalance. Energy Balance: The average number of calories is 2500 for males and 2000 for females. f. Fat content Fat is an important part of healthy eating for everyone. It is a source of vitamins (i.e., Vitamins A, D, and E) and essential fats. Fat is part of every cell in the body and helps absorb important nutrients. In our childhood we require a larger intake of fat to grow, while we need to decrease our fat consumption once we have reached our adult height. Healthy eating for teenagers should focus on a wide variety of food from all four food groups, with a limited intake of added fat (e.g., deep-fried food and snack foods, donuts, pastries, junk food) is encouraged. ______________________________________________________________________________ 13 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- For adults, lower-fat eating has been associated with good health. Trans Fats occur naturally in foods but can also be created artificially through commercial processing of oils into solid fat. Consuming industrially created Trans fats increases the risk of heart disease, as it increases cholesterol. g. The Balancing Act People are finding it increasingly difficult to maintain a healthy body weight. With easy and constant access to food and a decreasing need to move while accomplishing daily activities, energy output and input are frequently out of balance. Factors Associated with Energy Ideas to Fix Energy Imbalance Imbalance  avoid choosing large size  availability of large size portions of fast portions foods  enjoy tasty food in reasonable  like foods high in sugar and fat portions  availability of fatty, overly sweet, low- eat nutritious snack foods nutrient snack foods  be aware of food packaging and  convenience, visibility, and attractive promotions and remember they packaging of foods may be misleading  food promotions and advertising  check the energy content on food  role models and influences labels  lack of understanding about energy content avoid eating while doing of foods something else (e.g. HW)  eating while doing something else (e.g., watching TV) Punctuality Time is extremely important and we must learn to value each other’s time. Once you start working you would work on strict timelines for all your assignments. Timings should be adhered to in case of the following (explain each of following)  Daily reporting time to office / other place of work  Meetings both internal and external  Assignment completion  Project submission  Sending emails or other communication  Informing regarding absence from place of work either for few hours or few days Punctuality been reporting on time and completing tasks before the deadline. Make punctuality a habit. Consider an example Mr. Ram is a very punctual and hardworking person. He completes all the projects on time and ensures that his seniors do not have to unnecessarily follow up with him. Mr. Shyam is more experienced and qualified than Ram. However he is very laid back, reports late to office almost daily and does not complete tasks unless his boss follows up. ______________________________________________________________________________ 14 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- As an employer whom will you prefer? Although Shyam is superior in his work his attitude and approach is not encouraging. It is easier to work with an efficient employee who requires guidance than with an employee who is not punctual and regular. This habit of punctuality cannot be developed overnight once you get into employment. Practice right from the student days. Ensure you reach class at least 10 minutes before the lecture; revise the previous lecturer’s work so that you are well prepared. Entering the class 10-15 minutes after the lecture commences is annoying for the faculty. Further absenteeism is another common problem. With tight schedules for syllabus completion we lose vital information even if you miss just one lecture. Exercise Match the following 1 Punctuality A Energy 2 trans fat B Fat loss 3 Positive balance C fat gain 4 negative balance D solid fats 5 Calories E Exercise F completing task before deadline Why is punctuality important? ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ __________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ______________________________________________________________________________ 15 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Write a short note on energy balance ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ __________________________________________________ ______________________________________________________________________________ 16 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Session 4 BASIC WORK ETIQUETTES 1) First impressions As the old saying goes - you only have one chance to make a first impression and that is the best impression. Participants are required to fill in the First Impressions activity in their workbook. Assume that you are seeing the person sitting next to you for the first time. What is your first impression of him / her? Sr. Parameter (Scale of 1-10) Reason No. 1. Age Good in sports or cultural 2. activities like dancing, singing, etc. 3. Background 4. Career Potential 5. Cleanliness 6. Confidence 7. Determination 8. Enthusiasm 9. Education 10. Health and Well being 11. Honesty 12. Intelligence 13. Perfectionism 14. Orderliness 15. Sense of Humour ______________________________________________________________________________ 17 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- 16. Sincerity 17. Wealth It is extremely important to form positive impressions when you are with people you don’t know and need to know. First Impressions are Lasting Impressions and they influence the way people feel about us and behave with us. When meeting someone, what steps should be followed? 1. Stand Up - shows respect 2. Make Eye Contact and smile – shows you are interested and warm 3. Take the person’s name – the sweetest word to any person – his/her name 4. A Firm Handshake – to denote confidence (Don’t forget the eye contact and smile!) 5. Introduce yourself or others – As per the rules:  A person of lower designation is introduced to a person of a higher designation  Everyone including your boss or your company’s owner is introduced to a customer. Remember, customer is king!  Use titles, unless requested not to, such as in the case of a Doctor  If you forget someone’s name, apologize briefly and wait for the persons involved to volunteer their names  If you are uncertain how to pronounce someone's name ask them for the correct pronunciation prior to introducing them', if possible  If you are introduced to someone and you do not hear the name clearly, simply ask for pardon. 6. Small Talk – a common topic like the weather, etc. to start the conversation. 2) Self-introduction There are occasions in which you need to introduce yourself. For example, if you are meeting new colleagues or clients. To introduce yourself shake hands, smile, maintain eye contact and say, "Hello, I am (Your Name). I am the (Your Designation) at (Your Company Name).” If you have previously been introduced to someone do not assume that they will remember you. Be prepared to reintroduce yourself again. At the workplace there are numerous occasions where one needs to do a self-introduction  Starting with interview  First day at work to the receptionist  Peers in your department  Employees of other departments  While using common services like cafeteria / Xerox / courier etc.  To customers / dealers / suppliers  To senior employees if they meet you in the office  To bankers ______________________________________________________________________________ 18 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Once must be very clear and audible while giving an introduction. The tone should be right. You must provide details of your full name and department. While calling outsiders you must mention your company’s name especially, while talking to bankers / customers etc. you must reveal your correct designation. Exercise What are the steps involved in introducing yourself or others? ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ _______________________________________________________ When and why do you think you need to form Positive First Impressions? Have there been instances where you wished, you knew what was expected, how to act, what are you expected to say or do? By learning proper etiquette, they will have the knowledge and confidence they need to feel comfortable in new situations and to help them assist others to feel comfortable. We will often find ourselves in social situations in which our appearance, what we say, and how we behave are very important. We need to understand etiquette so that social interactions are comfortable and smooth for everyone. For example, many potential employers conduct informal interviews in a social setting like a coffee shop to evaluate our etiquette. 2) Conversational etiquette Here are some of the magic words and phrases that anyone who cares about proper etiquette should include in their everyday language:  Please – This is one of those words that can show good manners if your tone is right. Any time you ask for something, it's always a good idea to add this word to soften the request.  You're welcome – When someone says, "Thank you," your instant response should be, "You're welcome," "You're certainly welcome," or some variation that feels comfortable to you. Another way to express the same thought is, "I was happy to do it," or, "My pleasure."  Thank you – When someone does something nice for you or gives you a gift, you should always say, "Thank you." Not doing so makes the person feel that you are not happy with what they have done for you.  May I – The phrase "may I" puts you on the same side as the person you are speaking to. It gives the other person the feeling that you understand, without your having to say that. For example, when you say, "May I see that book?" you give the person an opportunity to share what she is looking at.  Excuse me – This says that you are asking forgiveness for leaving the table, coughing, sneezing or disturbing something you are engaged in.  Pardon me – This phrase can be used instead of "excuse me." Pardon me sounds more formal.  I beg your pardon – This phrase sounds much more polite and less harsh when you want someone to repeat what they had just said.  I'm sorry – When you make a mistake, hurt someone's feelings, or do something that you know you shouldn't have done, saying, "I'm sorry," is always the first thing you should say. You're letting the other person know you regret having done whatever it was. ______________________________________________________________________________ 21 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- How a person presents himself/herself to others upon meeting them will say a lot about how well-mannered he/she is, and this is an important skill. Greeting people properly, addressing them in the right manner creates the first impression. If you are seated, suppose at a restaurant or on the sofa at home and a visitor or someone you know comes to say hello, please stand up before saying hello. Everyone knows a person is ill mannered when he speaks out of turn, says the wrong thing that creates an embarrassing moment, or never allows anyone else to speak. Don’t become that person. Regardless of how smart or funny you are, there are times when you need to stop and evaluate the appropriateness of what you are saying. Acquiring the skill of a good conversationalist requires learning some fundamental guidelines and practicing them.  Pause Before you open your mouth to speak, stop and think about what you are going to say. Too many people speak as they think, and when the words come out, they realize that they have spoken something that they did not mean to say. Pause a moment to think before you say something you did not really mean to. This may make the difference between being considered a good conversationalist and others thinking you are ill mannered.  Pay Attention to Signals As you talk to others, pay close attention to signals to check if the conversation is still going the way it should or if their attention is somewhere else. If you continue talking long after they are no longer mentally a part of the conversation, you may find yourself alone, or worse, not invited to the next get-together. The instant you realize you’ve said too much, take a breath and give someone else a chance to talk. Signs to show that a person is no longer interested in the conversation:  Yawns  Stops making eye contact  Looks around the room looking for an escape  Starts moving backwards  Stops responding  Listen to Others One of the best ways to have people thinking you are good at conversation is to listen to what they have to say. This shows your interest in them, and they are more likely to show interest in you when you speak. Give the other person your undivided attention. How to show you are listening:  Maintain eye contact.  Nod or occasionally say, “Yes, I agree,” or “I know what you mean.”  Ask questions during pauses in the conversation.  Acknowledge the other person's triumphs by congratulating him. ______________________________________________________________________________ 22 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE -------------------------------------------------------  Arm Yourself With Conversation Topics Before you go to a party or casual get-together with friends, put some time into what you’d like to discuss. Doing this will help prevent the silence in the conversation and you’ll find yourself equipped to handle a variety of topics during conversations. Ideas for discussion topics:  Local news items  Favorite foods  New businesses in the area  Sports  Hobbies  Music and Movie releases  Favorite books  TV shows Conversation Etiquette Mistakes Common mistakes:  Not knowing anything about the person you are talking to – Take the time to get to know the person you are having a conversation with. This will enable you to talk about something that might interest him or her.  Messaging or constantly checking your phone for messages – No one wants to feel that the phone is more important than the here-and-now conversation.  Using Bad Language especially amongst polite people.  Telling jokes that the other person may not like – If you don’t know the person you are speaking with very well, you never know what might be insulting.  Interrupting or taking over the conversation – Give the other person a chance to talk.  Randomly changing the conversation to suit yourself – If you do this often, others may consider you to be self centred.  Looking past the person you are speaking to – Be completely with the person you are talking to.  Acting like you know-it-all  Forgetting to introduce others – Be polite and at least start with an introduction.  Gossiping about anyone ______________________________________________________________________________ 23 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Words and phrases that need to be removed from your vocabulary (what you say):  No problem – When you thank someone and that person in turn says, "No problem," it sounds bad. Even though it's the typical way of saying, "You're welcome," it’s not a great option.  Yep, yeah, and nope – These words are rude versions of "yes" and "no." The proper words are short enough, so why not simply use them?  Any Bad words – Bad words might have been used originally to look cool, but when they become part of your everyday language, they make you sound crude (unsophisticated).  Any words that put a specific group, gender, or caste down – Such language shows a lack of respect for others. Even though a lunch time is specified, there are certain basic etiquettes to be followed. While in a group one must always wait for a senior to start his lunch. If you have not carried your lunch and are going out, please inform colleagues that you are going out for lunch. Ensure that you offer your tiffin to others before you begin eating till you adjust to the new workplace and become less formal. Lunch time is the best time to build a good rapport with colleagues. When offered food by your colleagues please take a bite. If you are a vegetarian and the food offered is non- vegetarian, politely say ‘Sorry I am a vegetarian’. Dining out  Wait for a signal or comment from the host/hostess before you begin to eat. The best is to wait for them to start eating.  Never talk when you have food in your mouth. Even if someone asks you a question, wait until you swallow before answering.  Don’t cut all your food before you begin eating. Cut one or two bites at a time. It will prevent the remaining food from getting cold fast.  Never blow on your food. If it is hot, wait a few minutes for it to cool off.  Keep your elbows off the table. Rest the hand you are not using in your lap.  If it is necessary to leave the table during the meal, a quiet, “Would you please excuse me for a minute?” is expected.  When there is more than one fork and/or spoon, begin with the utensil farthest from your plate and work inward. Leave the used utensil on the plate or bowl which contained whatever you ate and use the next utensil for the next dish to be eaten.  Do not use a used utensil to serve from a common dish. Request for another utensil when needed.  Remove bone, seeds and other inedible foods from your mouth by allowing them to slip from your mouth onto your fork or spoon and place them on the edge of your dinner plate. Do not put such items into your napkin.  Eat slowly and time yourself to finish at the same approximate time as the host or hostess.  Avoid burping or making other rude sounds at the table.  Never chew with your mouth open. Chewing with your mouth closed and not talking when your mouth is full are two essential rules of good table manners.  Never stuff your mouth. Take small bites and never put all the food in your mouth in one go.  Do not interrupt when someone else is talking. At the dinner table, practice waiting for your turn to speak. ______________________________________________________________________________ 25 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE -------------------------------------------------------  Never reach to get something. Never reach across the table to get salt or anything else needed. Get into the habit of asking others to pass it over.  Unfold the napkin provided and place it on your lap. When you leave, fold it and place it on the table next to your plate.  If you need to use the toilet, put the napkin on the chair, not on the table. It should never go on the plate or on the table.  It is rude to talk on your phone or send messages to people when you are sitting with people at the dinner table.  If you drop some food or a drink, call a waiter to clear the mess.  Never use a toothpick at the table.  After you finish eating, wait for the others. It is rude to leave the table while others are still eating. Always push the chair in when finished. When you get up from the table, push the chair back against the table. Travel etiquette 1. Tipping is expected by waiters/waitresses at a restaurant (10 percent of the bill amount), hotel boy bringing food to your room or carrying your bags to your room, driver handling your luggage, making a special trip for you for some reason. 2. Tipping is not expected in a buffet or cafeteria situation. 3. Check with those around you before turning lights on or off, opening windows, switching on the television or music, etc. 4. Respect signs that ask for your cooperation in following various procedures, or in refraining from certain activities. 7. If you want to stay up late at night, go to a place such as a restaurant and allow your neighbors in the hotel to enjoy the good night’s sleep for which they are paying. Taking” things such as ashtrays, towels, or glasses from a hotel is stealing. When staying at a person’s home, consider these suggestions: a. Respect your host’s schedule for meals, lights out, etc. b. Be sure to inform your host or hostess of what time you plan to leave in the morning(s) and at what time you will return in the evening(s). c. Follow the rules at the host’s house. Keep separate accounts for official and personal purposes. b. Resist the temptation to share everything about yourself. c. While tagging people in candid shots please be careful. The person may not wish to be tagged in such posts. While posting a group photo, ask permission before tagging your friends, or post the photo with the caption “Tag yourself” so that others take the initiative. d. Ensure your profile pictures, especially on business-focused social sites such as LinkedIn, are professional. For a business page the corporate logo may be used. e. Before you post or tweet, analyze how others might interpret it – will it be perceived as informative, creative or boring? f. Share content written by well know people if relevant and attractive. g. Please check your privacy settings so that non-contacts cannot see your posts. h. Remove and un-tag morally or legally questionable photos. i. Will it hurt anyone? iii. Is it ok for public viewing? iv. Have I posted this before? v. Am I disclosing too much personal information? vi. Is it a provoking message? vii. Does it make sense? Don’ts with regard to social media a. Don’t jeopardize your personal security in an attempt to be over social. b. Avoid sending potential offensive tweets c. Don’t get into an argument with someone online. The world is watching including your office colleagues. d. Don’t disclose any official information that is confidential on social media. e. Remember what you post goes to influence your personal brand. So avoid over-sharing. f. Avoid commenting on every post. g. Bragging, rhetorical questions 2) Restroom etiquettes When you visit the men’s room, don’t leave without washing your hands. You don’t want to spread germs to the people you are with. Check First In a public restroom, don’t just push the door to see if someone is in. Someone may have missed the latch. Check under the door, and if you see feet, go to another cubicle or wait for the person to finish. ______________________________________________________________________________ 28 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Avoid Talking Don't confuse the restroom with a conference room. It's not the place to chat about classes, hold long personal discussions or discuss business deals. Remember that there may be other people in there, and they shouldn't be forced to listen to something they don't need to know. Allow Personal Space When you go into a restroom, don't crowd other people. Be respectful of the personal space of others. Men, unless the restroom is crowded, skip a urinal to prevent someone else from being uncomfortable. Ignore Your Cell Phone Don't chat on your cell phone while using the restroom. The person in the next cubicle or those standing in the line, don't need to know all your business. Flush the Toilet Before you leave the restroom, make sure you flush the toilet. Wait and check to see if everything has gone away. You don't need to leave something behind for the next person to deal with. If you are in someone's home, you may need to flush more than once to reduce sounds or smells. Use the exhaust fan if one is available. Dispose of Personal Hygiene Products Anything you use for personal hygiene needs to be wrapped and disposed of in a dustbin. Avoid flushing anything but toilet paper because it might choke the system. Replace Supplies If you use the last of the toilet paper, soap, or paper towels, show respect for the next person and replace it if spares are around or inform someone that this needs to be taken care of. Wash your hands It is not good to see anyone going out without washing his or her hands after using a bathroom. So, always wash your hands after using the washroom to rid yourself off all the germs that you might have got from the washroom doors or other surfaces. Dry your hands after washing them. If you are in a person's home, use the hand towel rather than a bath towel. In a public restroom, use the either paper towels or air dryers. Don’t wait in the line outside your small Office Bathroom It is very embarrassing and awkward to find someone waiting at the bathroom door when one comes out. So, instead of waiting in front of an occupied bathroom, give your co-worker some space and go back to your desk or try using another bathroom. ______________________________________________________________________________ 29 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Follow the rules no matter who you are Irrespective of your position in the organization, remember that everyone has equal responsibility of following the bathroom etiquette. With regards to washing your hands or flushing the toilet after use, follow the rules strictly and be a role model for your colleagues. Clean Up After Yourself Leave the restroom or bathroom in as good of condition as you found it. Do not make the bathroom a mess by leaving toilet papers, water and other waste lying all around. Ensure that you clean up before leaving the bathroom. Consider the bathroom as the one in your own house and keep it clean. Check the toilet seat and make sure it is clean. After washing your hands, avoid splashing water or soap all over the counter and mirror. If there is a paper towel available, wipe the area around the sink. Don't Crowd the Mirrors Ladies, its fine for you to redo your makeup in the restroom. However, if someone is waiting to wash her hands or use the mirror after you do what you need to do and then get out of the way as quickly as possible. Report a Clog Whether you caused the clog (choke) or someone before you did, make sure the host or office manager knows about it. It's much better to softly let the person know rather than have the problem get worse later. Exercise List the precautions which you need to take while using social media. Students are going to face another big change in their life – work integrated learning / training. This now they have been used to the classroom style of learning. Vocational training has a few challenges which students need to face. The change should be welcomed and any resistance handled at an early stage. b. Work integrated learning is a practice whereby students come to learn from the integration of experiences in educational and workplace settings. Integrating curricular learning with workplace experience provides students with an opportunity to combine theory and practice in a real-world work environment, deepening students’ knowledge and understanding, and enhancing work-related capabilities. Work-integrated learning is becoming increasingly popular in higher education. c. Advantages to students i. Practical experience ii. Applied learning iii. Skill/professional development iv. Networking v. Career exploration vi. An edge in the job market vii. Enhanced transition into the workplace viii. Future career success ix. personal growth x. Awareness of self d. Work integrated learning experiences provide a bridge for the student between the academic present, and their professional future - an opportunity to apply and merge theoretical knowledge gained in academic studies to “real world” work place practical experiences, and to prepare the student for a career by providing an opportunity to develop relevant professional skills. A three way partnership between the student, the work place organization, and the university requires all parties in the relationship to assume definite responsibilities, perform specific functions, and achieve benefits as a result of the involvement. Student expectations and change 1. Students as such have primary responsibility to their teachers. However under a work integrated set up they have responsibilities to their employers as well. They have to obtain high standard of professional behavior in the work set up. They have to ensure that all commitments at the work front and class front are fulfilled. 2. Students would be occupied during the day and need to ensure at least 1 hour of study on the daily basis. On weekends they need to devote sufficient time for homework and studies. This is over and above the classroom sessions. 3. A proper time table needs to be prepared subject wise for home study. When exams are approaching the number of hours need to increase significantly. 4. Students should be bound by the watch starting with ______________________________________________________________________________ 32 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- i. Morning alarm for wake up ii. Avoid time wasters such as unnecessary phone calls, chatting, excessive wats ap messaging etc. iii. Time of leaving office iv. Study time v. Sleep time. 5. Students should demonstrate a willingness to learn and make the most of their work integrated training sessions. 6. In case of any issues they should learn to communicate with their employer and / or facilitator. 7. Team spirit needs to be developed. A person who does not gel in a team is always viewed negatively by the employer. 8. Make an attempt to understand your role and work expectations clearly. 9. Enjoy your work and do it with lot of commitment. 10. Request feedback. Be prepared to handle criticism. 11. Undertake work beyond your daily activities if the opportunity exists. Be proactive. 12. Maintain a daily journal which lists your daily learning and experiences (suggested format below) Date Hours Duties Link to Pending To be worked performed theory tasks completed learned in by class 13. Strive to constantly learn and upgrade your competencies. So let’s reflect: Exactly what makes you “want to change” Generate discussion Say: It could be one of the following two things: ONE: To avoid/reduce/eliminate pain and suffering TWO: To find ways to feel better, happier, achieve certain goals and milestones Sometimes a combination of those two things. It is the old-fashioned ‘carrot and stick’ motivation theory in its full glory. Mind you, it is a fact that human beings are far more motivated to move quickly away from painful situations than they are to move towards feeling good. Thus pain can be a powerful motivator for change as we shall see during the course. So let’s take a moment to note down your motivation 1. I want to avoid/eliminate from my life the following: ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ _______ 2. I want to adopt/gain/have the following in my life: ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ______________________________________________ ______________________________________________________________________________ 36 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Whenever your motivation to change drops, keep these thoughts in mind: It’s not always as hard as you think to change. There is always someone worse off than you. There is always someone better off than you. Golden rule 2 Opportunity: Give Yourself “The Chance to Change” We live in a world where we have been conditioned to make instant judgments. It’s Black or it’s White. No Grey Areas. Yet one of the very definitions of intelligence (not IQ – but Philosophical Intelligence) is the ability to hold a minimum of two – and preferably many more – points of view SIMULTANEOUSLY. To live with Grey Areas. In our quick judgmental world this makes us uncomfortable. Unfortunately it also makes it more difficult to apply and sustain deep change. Unless of course you allow yourself the ‘chance to’ grow and develop, to find the ‘opportunity’ to change. When you plant something beautiful in your garden, you wouldn’t expect to come back in 5 minutes and see it fully grown would you? Of course not – we give Nature its own ‘opportunity’ to grow, its own ‘chance to make it’. And Nature comes through … day in day out. Now this does not mean change will always be slow! It simply means we must be patient, learn to live ‘in the now’, learn to be motivated by and notice the little things in life and expect that change can and will occur if you give it the opportunity. Allow the tools and techniques the chance to work, to filter through your mind and body. Most importantly, give yourself the chance to take this opportunity by making the time available for each of the techniques. 20 minutes spent now will reward you with a lifetime of pleasure. Now that you really ‘Want To’ (The First Golden Rule), and you are giving yourself the ‘Chance To’ (The Second Golden Rule), all that is needed now is The Third Golden Rule. There is a popular saying: “Repeating the same behaviour over and over again and expecting different results.” It is like continually hitting your head against a brick wall. All that changes is that your head will start to hurt! There will be no difference made to the wall. In fact there is an interesting quote by Albert Einstein who said: ______________________________________________________________________________ 37 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- This means we need new skills in order to change ourselves. This is generally accepted when it comes to say; driving a car or preparing a new style of cookery, or even learning to use computers. But it is not so well accepted when it comes to learning new mental skills, which is exactly what you will need to help you boost your self- esteem and self-confidence. Luckily for us, this ‘how to’ component is going to form the most important part of our mission of boosting self-esteem. This session is packed with new skills and techniques for you to learn so that you may actually boost your self-esteem and not just talk about the fact that you need to boost it. And from time to time, you’ll have to give yourself some ‘chance to’ learn these new skills … and it isn’t always going to be comfortable. But if it was comfortable, you wouldn’t be looking for this course now, would you! Let’s take Einstein’s advice and get straight into changing your thinking. 1) Scheduling and Prioritizing 2) Work etiquettes - Feedback, reporting, escalation based on below A task has been assigned by your boss involving two other departments. The target date for completion is 10 days from here. The other two departments provide no data despite several follow up. It is already the 6th day and you have not been able to start your work. You still follow up and on the 10th day when your boss called you, you tell me the problem. He gets very angry and asks you what you were doing all these days. What went wrong in the above case? Options available with you to justify this situation o Keep your boss in CC in all your follow up mails o Personally inform him that data is not coming within 3 days of start. Inform him that you cannot proceed until the data is received. Etc ______________________________________________________________________________ 38 | Personal Grooming | PW ------------------------------------------------------- TISS – SVE ------------------------------------------------------- Providing feedback is very important. When things are beyond your control please escalate to your senior. Don’t wait till an outsider informs your boss. It will create a very negative impression. Escalation implies informing your senior of a work related item that requires his attention. One must be proactive in this. List down any work related escalations they can think of. ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ ___________________________________________________________________________ __ Reporting – reporting pr
